Case studies

Local authority

Our local authority clients use Trigaware to expedite Information requests. These come in as formal requests under the Freedom of Information
Act, Data Protection Act, and several other pieces of legislation ensuring open access to government business. The requests are logged and triggers are emailed to inform the member of staff responsible for responding to the request.

A standard workflow is followed with the status of the request
being updated as progress is made. If certain levels of progress are not made within defined numbers of days, Trigaware sends out further auto alerts. Thus, statutory deadlines are rarely, if ever missed.

Manufacturing

A book printing company uses email triggers to alert clients to problems and hold ups for action by the client, and to inform of dispatched, finished goods. With 400 clients running several hundred high complexity print runs at any one time, the sophistication of the message configurations is very high. Without an automated system to manage client relationships, the company would have to employ an impossible number of people to answer calls from clients querying details. This would raise prices but
not help customer satisfaction as the information is required 24/7.

Their Marketing Administrator sums up:
“It is a reliable system that has served us well over the last three years. Trigaware sends clients and our project managers the alerts that help our team deliver jobs on time and keep clients satisfied in an increasingly competitive market by providing excellent customer service.”

Services

The company provides floor plans, photography, virtual tours, EPCs and many other services for estate agents. AXLR8 have automated the workflow using FastTrack and Trigaware. In this competitive market with very tight margins, expensive human intervention must be minimised for many formulaic tasks.

New instructions for home sales are logged on the agents’ portal, together with their choice of services (e.g. 10 photos, a floor plan and an EPC). The system sends an acknowledgement trigger with the identities of the people (“operators”) who will carry out the work. The several hundred operators all need to receive an automated message too, with the job details. When the appointment is made with the vendor, a further trigger is sent to the estate agent so they are kept up to date. When the results of their work are uploaded, both Head Office and post processing staff are notified by email alerts too. Lastly, there are email alerts for management if quality
levels have been missed for any jobs.

Events

Our client manages security at large events. During the application process, triggers thank candidates for applying, remind them to complete the 2nd stage application form or upload missing files, and even sends rejection. The guards must have several different qualifications for certain venues and events, and Trigaware is used to remind both the guard and Head Office prior to their qualification expiring. Once selected for work at an event, then an email alert confirms all the details of dress code, meeting point and time etc. Additionally Trigaware links with our 3rd party SMS partner, and triggers are sent via text to the staff member’s mobile phone for a more instant reminder.

Their Booking Manager states:
Thanks to Trigaware, we have been able to more than halve the 6,000 telephone calls we used to make every month.
